IT Asset management

IT organizations are facing new challenges. On the one hand, there are great demands for reducing budgets and cutting costs, while at the same time, customer require the introduction of new IT services, better quality, and greater availability of IT services. Thus, the share of operating costs in the budget of IT organizations is increasing, while the budget for innovation, development of new services and IT competencies of the organization as a whole, is being reduced.

In addition, increasing complexity of IT environments, which is a consequence of the development of new technologies such as virtualization, mobile technology, outsourcing and cloud services, presents the new IT organizations with technological and business challenges. The main challenge is how to better and more proactively manage IT organizations with all the demands that are placed before them, and also be able to achieve substantial business and financial value.

One of the things that can help is the IT Asset Management system, which ensures the ability to monitor and manage IT assets throughout their entire life cycle, all costs associated with it, thus providing the organization with the actual total cost (TCO) of IT services and individual IT services. This also provides an opportunity for better and easier decision-making during the budget planning, cost management, and introduction of new services and IT services.

The basic idea behind the IT Asset Management is to extend the functionalities of HelpDesk solution. On the one hand, IT Asset Management consolidates and unifies HelpDesk solution, across the firm, in a way that all inquiries, applications and requirements by internal users go through it. On the other hand, the introduction of IT Asset Management solutions extends the functionality of the consolidated HelpDesk solution with added value that it delivers to an IT organization. With this approach the entire IT organization is covered, and better and more precise planning is allowed.

IT Asset Management provides the following benefits:

  • monitoring and asset management through its entire lifecycle - from requirements for acquisition, storage, use, up to the expenditure;
  • monitoring property and contract (guarantee, support, leasing) associated with it - for example, how many desktops are included in a maintenance agreement;
  • tracking of assets by cost, organizational structure, locations, ...;
  • monitoring licenses (Software Asset Management) - how many are there, who uses them, what are the type, status of compliance - for example how much of a software is used in relation to what is  ensured by the contract;
  • monitoring of contract compliance by vendors or partners - SLA (service-level agreements), the amount, the conditions, expiration of the contract / lease, ...;
  • integrating with existing desktop management tools, quality monitoring, and centralized IT costs (CAPEX, OPEX), and the budget - the structure, the ratio of planned / realized, by cost center, costs by type of property, ...;
  • possibility of obtaining real TCO (Total Cost of Ownership) - Asset, IT services, IT organizations - ERP for IT.

It should be noted that the IT Asset Management encompasses all three components - people, processes and technology, and is thus integrated into the existing IT systems and organizations as an added value. IT Asset Management deals with the IT organization as a whole, and it is a part of a unified system for managing the IT organization - IT Governance.
